REGISTRATION FOR ORBIS PROJECT ACTIVITIES

Orbis project organizes events, workshops, guided tours, and other digital activities of various types and formats, including online ones, which you may attend and for which prior registration may be required. If you request it, your personal data may be processed to enable your participation in such activities related to Orbis project and promoted from time to time through the Website.

The personal data processed by Orbis project to enable participation in the aforementioned activities may be collected either directly through forms available on the Website or obtained from third parties (such as, for example, educational institutions, business partners, or ticket service providers). These data include your name, contact information, and any other categories of personal data necessary for participation in the specific event, which will be specified on a case-by-case basis.

The legal basis for processing personal data for the purposes outlined in this section is the performance of a contract, pursuant to Article 6.1(b) of the GDPR, and/or compliance with a legal obligation to which Orbis project is subject, pursuant to Article 6.1(c) of the GDPR, and/or the legitimate interest of Orbis project, which, being properly balanced with yours, does not require your explicit consent. Only if event registration necessitates the processing of sensitive data related to your health (e.g., for dietary safety reasons), explicitly provided by you, will the legal basis for processing be your explicit consent under Article 9.2(a) of the GDPR.

We invite you to check which personal data are indicated as mandatory and which as optional, noting that failure to provide the personal data marked as mandatory may prevent your participation in the event.

PERSONAL DATA 

Scope of Communication and Disclosure of Personal Data
The personal data you provide may be communicated, exclusively for the purposes indicated in this privacy notice, to the categories of entities listed below, which act, as appropriate, as data processors on behalf of Orbis Project or as separate data controllers, in which case they will provide the User with appropriate information under their responsibility:

  • Individuals, companies, associations, or professional firms providing assistance and consulting services to Orbis Project, particularly but not exclusively in accounting, administrative, legal, tax, and financial matters;
  • Companies providing certain services related to the Website and associated services on behalf of Orbis Project as described in paragraph 1;
  • Companies within the Feltrinelli Group;
  • Entities authorized to access personal data by statutory and regulatory provisions.

The User may always request a list of the entities to which their personal data have been or may be communicated by writing to the address provided below.

Transfers of Personal Data Outside the EEA
Personal data are processed at Orbis Project’s premises and by designated data processors within the European Economic Area (EEA).

If it becomes necessary to transfer your personal data outside the EEA to a third country or international organization, such transfer will occur in compliance with the appropriate safeguards under Chapter V of the GDPR.

Retention Period of Personal Data
The personal data collected for the processing purposes outlined in paragraph 1 will be retained for the time necessary to achieve these purposes and subsequently for the period required by law for the retention of accounting records and the limitation of rights in contractual matters, unless there is an exceptional need for Orbis Project to retain the data further to defend its rights, including in relation to ongoing disputes or at the direction of public authorities. Data retention will comply with applicable legal provisions and the guidelines provided by the Data Protection Authority.

Personal data collected for the purposes described in letter (f) of paragraph 1 will be retained, in the case of successful selection, for the duration of the employment relationship with Orbis Project and for 10 years thereafter, unless there is an exceptional need for further retention. If the selection process is unsuccessful, the candidate’s CV will be retained for 12 months from the date of collection.

Personal data collected for the purposes described in letters (i) and (l) of paragraph 1 will be retained until consent is withdrawn (or not renewed after 24 months from the time it was given) or until an explicit request for deletion of such data is made.

Minors
Orbis Project encourages parents to monitor their children’s Internet use to ensure safe and filtered access to content, including through parental control tools. These tools can help create a child-friendly online environment and prevent the disclosure of personal data by minors without parental consent. Regarding the collection and processing of personal data, Orbis Project does not process the personal data of individuals under 14 without parental consent.

Access to services available through the Website is therefore restricted to users aged 14 or older. We invite users under 14 not to provide any personal data without parental authorization. Any data provided by users who misrepresent their age or provide data without parental consent, despite being under 14, will be promptly deleted.

User Rights
The User has the right to:

  • Obtain information about the purposes of data processing, the processing period, and the entities to whom personal data are communicated (right of access);
  • Request the correction or integration of inaccurate personal data (right of rectification);
  • Request the deletion of personal data in cases such as (a) data are no longer needed for the purposes for which they were collected; (b) the User objects to data processing based on legitimate interest; or (c) data processing is unlawful (right to erasure). However, data retention by Orbis Project is lawful if necessary to comply with legal obligations or to establish, exercise, or defend legal claims;
  • Request the restriction of data processing in cases such as (a) disputing data accuracy, for the time required to verify it; (b) unlawful processing but opposition to deletion; (c) necessity for legal claims; or (d) objection to processing pending verification of Orbis  Project‘s overriding legitimate interests (right to restriction);
  • Object to processing when data are processed for Orbis  Project‘s legitimate interest and the User disputes its existence (right to object);
  • Receive personal data in a common, machine-readable, and interoperable format when processed automatically based on consent or contract (right to data portability).

Under Article 2-terdecies of the Privacy Code, in the event of the User’s death, these rights may be exercised by someone with a legitimate interest, acting as a representative or for familial reasons. The User may expressly prohibit such actions by sending written communication to Orbis  Project.

Finally, the User has the right to contact the Data Protection Authority (https://www.garanteprivacy.it/home/footer/contatti) to assert their rights regarding the processing of personal data.

In compliance with the obligations deriving from national legislation (Legislative Decree 30 June 2003 n. 196, Code regarding the protection of personal data) and community, (European regulation for the protection of personal data n. 679/2016, GDPR) and subsequent amendments, this site respects and protects the privacy of visitors and users, making every effort possible and proportionate so as not to infringe the rights of users.

This privacy policy applies exclusively to the online activities of this site and is valid for visitors / users of the site. It does not apply to information collected through channels other than this website. Legal basis of the processing

This site processes data based on consent. In particular, this site uses cookies from the following third parties:

– Google Analytics: a Google analysis tool that through the use of cookies (performance cookies), collects anonymous browsing data (IP truncated to the last octet) and exclusively aggregated for the purpose of examine the use of the site by users, compile reports on activities on the site and provide other information, including the number of visitors and pages visited. Google may also transfer this information to third parties where this is required by law or where such third parties deal with the aforementioned information on behalf of Google.

Google will not associate the IP address with no other data owned by Google. The data transmitted to Google are deposited on Google servers in the United States.

The user can selectively disable the collection of data by Google Analytics by installing the appropriate component on your browser provided by Google (opt out).

– YouTube: a platform owned by Google, for sharing video, which uses cookies to collect user and data information navigation devices. The videos on the site do not carry cookies when accessing the page, having set the “advanced privacy” option(no cookie)” under which YouTube does not store information on visitors unless they voluntarily play the video.

Security measures

This site processes user data in a lawful and correct manner, adopting the appropriate security measures to prevent non-access authorized, disclosure, modification, or unauthorized destruction of data. The processing is carried out using IT and / or telematic tools, with organizational methods and with logic strictly related to the purposes indicated.
